  • Personalize the content. One way to make a reader feel as if the email was written just for them is to use the person’s first name, especially in the greeting. Also, use words such as “you,” “we,” or “us” to make the email feel more personal.

 

  • Keep your copy short and to the point. In today’s overcrowded email inboxes, you need to make sure the person reading your email can digest your main points in the time it would take to skim the email. One way to do this is to bold or bullet your main points.

 

  • Be careful for spam words. If you want your email to be seen by your intended recipient, be careful for words that their email client may determine to be spam. Capitalizing word like FREE and adding exclamation points are common triggers.

 

  • A well written single call to action is needed. Don’t suggest your lead buys a product and at the same time also request that they download an ebook. Make each email count. If you’ve recently released a new e-book and you are emailing a link offering a free download, make that the only call to action.

 

  • Make sure your own email is the sender and include all of your contact information. Research has proven that more emails are read when they come from a direct person, rather than a generic company email address. You want your email to get opened, right? And don’t forget to include all of your contact information in the content. While many people may decide to reply to your email, others would rather reach out to you by telephone.

 

  • Now that the email is written, it’s time to write your subject line. Often, people will write a subject first, but what if your content changes from what you originally thought? Keep the subject no longer than 35-50 characters. If possible, personalize the subject. This will make your contact more likely to open the email.

Here are two examples of 150-word (or less) sales emails. Feel free to use these as a starting point for your own company emails.

Subject: Following up from our call on January 6th

 

Hi (FirstName),

 

Thanks so much for taking the time to talk to me on the phone last week. I know you mentioned there were a few people you’d like to talk with in your workplace before moving forward.

 

I’d love to meet with everyone to discuss your professional facility service needs. I’d be happy to work around you and your colleagues’ schedules, but was hoping we could meet this week.
